Terms and Conditions

Do I need to pay a deposit?
You will be required to pay a refundable deposit, which is equivalent to the ticket price of the most expensive festival you would like to work at - if you hope to work at Glastonbury you will need to pay a deposit of £200. For all other festivals excluding Glastonbury the deposit level is £150 so if you hope to do Glastonbury and other festivals with us you'll need to pay the higher amount. Either of these deposit levels also covers you for training - please see separate details if appropriate
Please note cancellation fee policy below  i.e. make sure you only sign up for festivals you can definitely make, not your wish list - you can always add other festivals nearer the date when you know you can make them

Do I need to pay this all in one go?
At the moment yes
- we are looking to introduce a payment scheme by £50 instalments with out affecting the fees we pay per transaction too much and if we can we will do so. Please note the admin fee and cancellation fees will still apply whatever your level of deposit we hold

Can I pay for other people?
As long as the bank card you are using is valid, and has funds to cover the deposit(s) you can pay as many deposits as you like. Please remember  that if the other people you have paid for cancel late, don't turn up, perform unsatisfactorily then some or all of the deposit will be lost even if no fault of your own

When I make a payment what happens?
NoChex can take up to 5 working days for the money to be transferred out of your account, so please make sure the funds are available.

Deposit return?
The deposit(s) will be refunded directly via the card you paid it from. If your account closes or your card details change before you have been refunded, you will need to let us know, so we can sort out an alternative way to refund you.
If the payment is rejected by your account, there will be a delay as we will need to contact you to request bank account details to allow us to refund you
There is a small admin fee of £5 taken from your deposit to help pay for admin costs etc.  
We aim to get all straightforward refunds back within a month of the last festival you have worked.
What happens if I cancel before the festival?
We have looked at how much money it has been costing Green Stewards when someone cancels, in terms of the extra administration, arranging a refund, finding a replacement, staff time and communications involved. It costs us a lot!
Rather than pass on this cost to everyone by increasing the admin fee from £5 - which we think would be unfair on the vast majority of you - we will be implementing a cancellation fee policy

If you cancel at least 3 weeks before the stewards arrival day at your nominated festival, and are not working at other festivals later in the year, you will be charged a £5 cancellation fee i.e. your deposit will be returned less £10 (£5 admin and £5 cancellation fee)

If you cancel less than 3 weeks but at least 2 weeks before a festival you will be charged a £15 cancellation fee i.e. your deposit will be returned less £20 in total

If you cancel more than one festival within the timescales above you will be charged the appropriate cancellation fee for each one you cancel.  And it is likely that we will contact you to make sure that you are going to turn up and not cause us more problems

If you cancel with less than two weeks before you are due to arrive - you will lose all of your deposit.
If you don't show - you will lose all of your deposit. And removed from our database
If you are late arriving and we are not aware of or agreed this - you will lose all your deposit and the right to entry to the festival itself

Exceptions
Illness - if you tell us as soon as possible and provide a valid sick note we will of course consider your case. We reserve the right to charge a cancellation fee
Other - If you tell us as soon as possible and can provide documentary evidence we will consider your case. We reserve the right to charge a cancellation fee
Standby list - if you have been, or asked to be, added to a standby list and are not selected your deposit is not affected. If this is your only festival your deposit will be returned in full.
Late arriving - if we are aware of good reason for your late arrival then we will consider your circumstances - please make lots of attempts to let us know though!

 

What happens if I get totally munted and miss a shift?
Yes we all want to have a good time but if you don't turn up for your shift on time it causes problems for everyone. If it is your first offence and providing we can rearrange your shift then we will shout at you and put a note in our staff book. This may affect your selection for future festivals. The same applies if you turn up unfit for duty, become unfit whilst on duty, or are taken off duty for a minor infringement.
If you simply do not turn up, or do any of the above again - you will lose your deposit and be taken offsite.
So party on - but after your shift - not immediately before or during!

If I have to cancel, can one of my mates take my place?
No, although we may have a standby list which they would be welcome to apply to be added. They would still need to pay a deposit separately - if they end up being unsuccessful they would get the full deposit returned

What happens to my deposit if I apply very late for a festival i.e. less than two weeks before, and then cancel my place?
Please only apply if you know you can definitely turn up.  If you don't /cancel/etc this causes us even more headaches and work than cancellations from those who have been down to appear for some time.
You will lose all of your deposit

Where is my money held?
Your money will be taken automatically by NoChex, our secure internet payment provider. They will ask you to read their own set of t&c's. And send you a confirmation email when they have taken payment. Your details will then be updated on our records - this can take 24hrs.

Your money is held in a secure holding account until you have completed your last festival. Within three weeks of confirming that you have worked all your shifts satisfactorily, we will start the process to refund you. If your bank/card details have changed you need to let us know before we start to process your refund as this costs us additional transaction fees.

Please note that we do not see or hold any bank or credit card details, these are held by NoChex. All we will have is your data record giving your deposit status.
